Memulai dan Menata (Lagi) Arsip FE UNNES

Tahun 2015, FE UNNES pernah melakukan kegiatan penataan arsip. Ujungnya/puncaknya, FE UNNES memiliki depot kearsipan di Gedung L3, Lantai 2, Kampus Sekaran, Gunungpati, Semarang.

OK. Langsung saja ke inti acaranya. Yaitu, secara teknis. Saya mulai dari ini. Hal sederhana.

Darimana arsip tercipta di FE UNNES? Tercipta di jurusan, gugus, dan fakultas.

Siapakah yang menciptakan arsip di FE UNNES? Individu dan kelompok. Individu berupa pimpinan, dosen, dan tenaga administrasi. Kelompok seperti dari tim gugus, tim kegiatan, dan tim penelitian/pengabdian kepada masyarakat.

Apa contoh arsip itu di FE UNNES? Bermacam-macam, arsip yang tercipta. Seperti: surat tugas, surat keputusan dekan, berkas naik pangkat, laporan penelitian, proposal dan laporan kegiatan, transkrip nilai, dan arsip lainnya.

Bagian-bagian apa saja yang menciptakan arsip di FE UNNES? Bagian akuntansi, akademik, kemahasiswaan, kepegawaian, sarana dan prasarana, ketatausahaan, keuangan, gugus, dan jurusan/prodi.

Bagaimana pengelolaan arsip selama ini di FE UNNES? Sifatnya, parsial. Masih sendiri-sendiri. Belum ada integrasi antara satu bagian dengan bagian yang lain. Sehingga, saat pimpinan membutuhkan data (baca:arsip) akan menghubungi bagian yang dibutuhkan. Pastinya, membutuhkan waktu yang lama. Karena, belum terkelola.

Bagaimana strategi agar tertata di FE UNNES? Dibuat sistem/aturan dalam pengarsipan.

Bagaimana cara menatanya di FE UNNES? Dimulai dari penataan secara manual sesuai klasifikasi arsip, penataan arsip di depot kearsipan, dan pengentrian ke sistem kearsipan (arsip digital).

Adakah aturan/SOP di FE UNNES? Ada ini.

Bagaimana sistemnya di FE UNNES? Ada di apps.unnes.ac.id, pilih arsip digital. Disitulah sitem kearsipan ada. Mulai dari system arsip dinamis hingga statis. Lihat gambar.

Siapakah operatornya? Nunggu instruksi Dekan dan Wakil Dekan bidang Umum dan Keuangan.

Apakah ada arsip statisnya?Ada.

Apa kegunaan sistem arsip ini? Lebih fleksibel, efektif, dan efisien dalam pencarian. Terlebih, untuk data-data zona integritas, akreditasi, dan AMI.

Apa tips agar lebih mudah mengeoperasionalkan sistem ini? Disiplin dalam mengentri dan menata arsip di depot arsip sesuai dengan klasifikasi kearsipan.

Apa harapan kearsipan ke depan di FE UNNES? Perlu evaluasi berkelanjutan agar sistem ini terpelihara dengan baik.
