UPT Archives strategic issues include the disclosure of accountable and reliable university public information and university archives which play an important role in research, community service, and teaching. Information disclosure is very important for Unnes in serving the community in the form of data stored by the university. This activity is Unnes’ step in providing excellent service to the community. Through the archives at Unnes it produces valid data and is able to account for the authenticity of these documents.
UPT Archives Unnes plays an important role in storing documents in the form of higher education tri dharma. This step is a forum for Unnes to explore various research results, community service, and teaching conducted by Unnes lecturers. If the tri dharma archive of higher education is kept properly, it will be wealth for Unnes in realizing good governance in the form of accountable information services.
The UPT Unnes situation analysis consists of strengths and weaknesses. its strength is Unnes as a conservation campus, has the meaning of guarding, maintaining, and caring for archives. Unnes must maintain the archives it has. The archive is a university asset in supporting performance and a source of information as material for policies to be taken. In addition, this step is to support one of the pillars of conservation, namely paperless. Through good archival management, it is expected to be able to minimize paper in its use at universities because archive management can be done electronically. Unnes has a good Management Information System (SIM), this supports the management of records based on electronic archive applications in the form of active, inactive and static dynamic archive services.
The weaknesses of the Unnes Archives UPT are that they do not yet have a building to manage archives, the work unit does not yet have an archivist, there is no archive space in the work unit, and the units’ understanding of archive management is still weak. The building is the strength and icon of the Unnes Archive Unit in managing its archives. The building as a container in managing university archives. The work units in Unnes in managing archives have not been handled by archivists. So far it has been managed by educational staff who have an educational background not from archivists or office administration so that the understanding of archival management is still weak.
The external situation analysis consists of opportunities and threats. Opportunities for UPT Unnes Archives, namely the government appoints universities to manage archives. Universities provide an important role in structuring archives. In addition to appointing universities in managing archives, the government also appointed city/regency and central governments. This step is in line with Unnes’ vision, one of which is conservation. The intended conservation is saving, caring for, and maintaining documents (archives), so that it becomes easier to introduce the Unnes Archive UPT.
There are external parties who want documents or archives related to Unnes such as land deeds, building certificates, assets or documents that have legal value, while the Unnes Archive Unit has not kept these documents, so they are vulnerable to conflicts in the future. Like Unnes land ownership in front of the rectorate, Banaran, where the banner of this land belongs to Unnes, but there are still community buildings around it for business or trade.
SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats), namely an analysis of the strengths, weaknesses, opportunities, and threats of the Unnes Archive Unit. The analysis of strengths and weaknesses is based on the internal conditions of the Unnes Archive UPT, while the analysis of opportunities and threats is based on external conditions. Based on the chart above, the problems that must be solved are archiving services, archival human resources, development of information systems, and strengthening of facilities and infrastructure.
